About the role

Valletta Executive Services Ltd is a Malta-headquartered corporate advisory and investment group operating across finance, fintech and professional services. We are seeking a discrete, highly organised Executive Assistant to work closely with the CEO and senior leadership team. The successful candidate will join a small, high-performing central team based in Valletta with flexible hybrid working.

The role blends high-level diary and inbox management with project coordination, meeting preparation, travel and expense management, and confidential stakeholder communications. You will liaise with local and international partners, prepare briefing materials and ensure the CEO’s time is used efficiently. This is a visible position that requires initiative, excellent judgement and the ability to manage competing priorities in a fast-paced environment.

This role is ideal for someone with proven executive support experience, strong business writing skills in English, attention to detail and comfort working across administrative and operational tasks. Key responsibilities

  • Manage the CEO’s diary, prioritise meetings and coordinate schedules across time zones
  • Draft, edit and proofread correspondence, presentations and briefing packs
  • Screen and manage inbox communications, responding on the CEO’s behalf where appropriate
  • Arrange travel, accommodation and detailed itineraries for local and international trips
  • Prepare agendas, take action-focused minutes and follow up on deliverables
  • Coordinate with internal teams and external stakeholders to ensure timely information flow
  • Handle confidential and sensitive information with discretion and integrity
  • Own ad hoc projects such as event coordination, board logistics and special reports
  • Manage expense submissions and basic budget tracking for the CEO’s office
  • Support onboarding for new hires reporting to the CEO and maintain organisational records

Requirements

  • Minimum 3–5 years’ experience supporting C‑level executives or senior leadership
  • Excellent written and spoken English; professional business writing skills required
  • Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and cloud collaboration tools (Teams/Zoom, OneDrive/SharePoint)
  • Strong organisational skills, ability to multitask and manage competing priorities
  • High level of discretion when handling confidential information
  • Comfort liaising with international clients and stakeholders across different time zones
  • Eligible to work in Malta (candidates must be able to demonstrate right to work when requested)
  • Immediate or short notice availability preferred

Work schedule

Typical week: Monday to Friday core office hours with hybrid flexibility; occasional early/late meetings depending on international schedules.
