Office Manager - St. Julians
About the role

As Office Manager you will be the day-to-day backbone of the office: coordinating facilities, liaising with suppliers, managing onboarding and departure admin, supporting basic payroll and HR processes, and ensuring the workplace runs smoothly for a diverse team. You will work closely with leadership and colleagues across departments and will often be the first point of contact for external partners and visitors.
The role is largely on-site to ensure hands-on coordination of facilities and staff needs, but offers occasional flexibility for remote administration tasks. This is an excellent opportunity for someone who wants responsibility and visibility in a stable Malta-based business, with clear scope for developing people management and operations experience.

Key responsibilities
- Oversee daily office operations: reception coverage, supplies, equipment and facilities maintenance
- Coordinate with landlords, vendors and service providers for cleaning, IT support and repairs
- Manage office procurement, maintain inventory and track operational budgets
- Support HR-related administration: onboarding paperwork, staff records, basic payroll inputs and liaising with external payroll providers
- Arrange meetings, travel bookings and company events; manage meeting room bookings and visitor reception
- Ensure compliance with company policies and local health & safety requirements
- Prepare routine reports for senior management on office spend, incidents and service levels
- Assist with ad-hoc projects to improve office efficiency and employee experience
Requirements
- Minimum 3 years' experience in office administration, facilities or operations management
- Strong organisational skills with proven ability to prioritise and manage multiple tasks
- Proficient with MS Office (Outlook, Word, Excel) and comfortable learning new office systems
- Excellent verbal and written English; working knowledge of Maltese is an advantage
- Comfortable handling confidential information with discretion
- Valid right to work in Malta (EU/EEA or appropriate permits) and ability to attend the St. Julian's office regularly
- Positive customer-service orientation and strong interpersonal skills

Work schedule
Typical week: Monday to Friday office hours, with occasional after-hours or weekend cover for events or one-off activities.
- Standard office hours: 09:00–17:30
- Flexible start/end (core hours 09:30–16:30) by agreement
- Occasional event or supplier coordination outside normal hours
